How do I merge duplicate donor records?

You may occasionally find that you have two donor records for the same person. In these cases, it's a good idea to merge the duplicate donor records to clean up the duplication, and ensure all the information you have about that donor is consolidated under a single record.

NOTE: Once you merge two contact records, you cannot undo it!

Follow the steps below to merge the duplicate donors:

  1. Identify the two records to be merged, and note the donor number of the record you wish to keep.
  2. In the Donor Browse view, highlight the record to be removed and hit the "Del" key on your keyboard (or click the delete button from the Donor Screen toolbar.)
  3. A warning window will pop-up asking what should be done with this donor. Select the middle option "Merge with another donor," and click "OK."
  4. In the next window that pops up, Silent Partner will ask for the donor number of the donor to merge this record with. Type in the donor number for the duplicate record you want to KEEP (see step 1), then click "OK."
  5. In the next window, select the address you wish to keep for the donor moving forward.
  6. Silent Partner will ask you to confirm that you are sure you want to merge the two records and keep the record you indicated. Click "Yes."
  7. When prompted to add Mail Codes and Category Codes, it is safest to say "Yes" and edit them manually later.
If there are no receipts outstanding and/or donations on the record(s) being merged you may see fewer warning windows.
