Status Associations: Controlling who can mark Activities Approved, Decline, etc.


Status Associations controls what users who interact with an Activity can do with the Activity.  For example, it is appropriate for an Employee to be able to create a Time Off Request, but not appropriate for them to initiate an Annual Review.  

Templates control what is entered into an Activity.

Configure Status Associations

To limit the statuses available to employees who will be working with a Template, go to Settings > Templates and select the Template you wish to edit.

  1. "An Administrator" is your PartnerHR Administrator.
  2. "The Supervisor of the Person whom the Activity is For" is the person who supervises the Employee that this Activity/Template belongs to. ie the supervisor of the person for whom the Annual Review is being completed.
  3. "The Person whom the Activity if for" is the person on whose record the Activity will live once complete. ie the person undergoing the Annual Review.  The Activity will live on their record when done.
  4. "The Assignee of the Activity" is the person the Activity is assigned to.  This is the person responsible for ensuring the Activity is completed but might not be the Supervisor of the Employee or the Employee themself.

In this example, the PartnerHR Administrator can create the Activity (New), or mark it Review, In Progress, or Done.

The Person whom the Activity is For can only change the status to Review.

The Supervisor will only be able to change the status to Done.

There is no Assignee of the Activity so all boxes are unchecked.

This limits the options for each user to reduce confusion and ensures that the workflow you set up is followed.





Below is an example of how this might look for the Person whom the ACtivity is For.  The Status options available to them are limited to New and Review.  In practice, the HR Administrator would set the Activity Workflows so that when they create the Activity it is assigned to the Employee.  The Employee would complete their portion of the Annual Review and then change the status to "Review" which would assign the Activity to the Supervisor of the Person whom the Activity is For.
