Understanding Activity Workflows, Templates and Categories
To help understand Activity Workflows, Templates and Categories, it might help to compare PartnerHR’s processes to your old-fashioned processes for administering your HR needs on paper.
- An Activity is a virtual piece of paper you would file in an employee or volunteer’s HR record: a Police check, a performance review, sick leave, a vacation request, etc.
- Each of those items looks different and contains different information; they are created using different templates. In PartnerHR, Templates structure how the virtual piece of paper is completed and what is on it. You need separate templates for a vacation request, sick leave, a police check, etc.

- Activity Workflows determine how entries – those virtual pieces of paper - need to move from person to person. Who creates the vacation request? Who needs to be notified so that the request can be approved?

- Categories are how you group Activity Workflows together. You might have a Category for Onboarding, Health & Safety, and Time-off requests. To use the Onboarding Category as an example, it might group together Activities for Reference checks, Orientation, Training, and internal processes like assigning email addresses and phone extensions.
