What is an Activity Workflow (with example)

Activity Workflows control who is notified at each step that an Activity goes through.  If you think of an Activity as a virtual piece of paper, the Activity Workflow controls how that piece of paper moves from person to person and how they interact with it.

For example, with your current process, the HR Administrator might tell supervisors that it’s time for performance appraisals.  The supervisors would then alert the employee that their appraisal is due.  The employee would add their input and then meet with the Supervisor to discuss.  Once finalized, the appraisal would go back to the HR administrator to be filed. 

In PartnerHR, the Activity Workflows for performance appraisals might look like this:
  1. On creation assign to Supervisor. 
    1. When the PartnerHR Admin creates the performance appraisal Activity for the employee, PartnerHR will notify the employee’s supervisor.
    2. The supervisor would enter any information in the Template that they need to and change the status of the Activity to “In Progress.”
  2. In progress assign to the employee.
    1. PartnerHR will send a notification to the employee.
    2. The employee to provide their input for the Activity.
    3. When done, they would change the status to “Review.” 
  3. Status change to Review assign to Supervisor
    1. PartnerHR will alert the employee’s supervisor. 
    2. The supervisor completes the review changes the status to “Done.”
  4. Status change to Done unassign 
    1. The Activity is not assigned to anyone because it is complete.  The Activity will now only show on the employee page under Entries > Profile.
