Entering donations - an overview of how it works.

How does gift entry work in Silent Partner?

The process of entering gifts and processing receipts in Silent Partner takes 4 basic steps:

  1. Setting up the Batch: a Batch is a holding place for gifts - where you collect them together until you are ready to finalize them
  2. Entering donations into the Batch
  3. Posting the Batch: this puts the donations into the donor's record. Gifts cannot be adjusted or altered once they are Posted. They can only be reversed and re-entered if needed.
    1. In order to correct a receipt entry error, once the Batch has been Posted, you need to Reverse the gift and start again. A self help article on reversing gifts can be found here.
  4. Processing the Receipts

There are two types of receipts created by Silent Partner: Official (tax deductible/charitable) receipts and Unofficial (or acknowledgement) receipts.

In the Desktop Console, Unoffical receipts can only be printed once!  When you enter the donation into a batch, you will be prompted to print the Acknowledgement receipt. If you fail to do this when prompted, you will have to reverse the gift and re-enter it in order to print the acknowledgement receipt..
