How to Enter a Donation

Step 1

The first step is you need a batch to put your donations into.


Either press the Enter Donations button, go to Functions => Enter Donations, or press F10. From here it will ask you to select the office you want these donations to be entered into (this only applies if your organization has more than one office).

 

Step 2

Now either choose an existing batch or create a new one.


If you want to add donations to an existing batch, simply double click on the one you want.

If not then click “New”. Fill out the information in the form (you can “tab” your way through to autocomplete certain forms) and then click OK. Now that you have a batch you can start entering donations.





You can also “Clone” old batches if you need to enter in identical donation data; this is mostly useful if you made a mistake with an earlier batch and need to reverse it. (See document on How to Clone a Batch).

 

Step 3


On the left side of the screen you should see a list of all your donors.

Find the person for whom you want to record a donation (just start typing the name of the donor and Silent Partner will go to it)

Once you find the name of the donor who matches the donation you want to enter, select him/her and press the “Enter Donations” button (also found under “Edit” or F3).

 

Step 4


A donation entry screen should pop up, this is where you will enter in the details of this particular donation.

The “Motivation code” allows you to choose the reason behind the donation

The “Designation” is the account that this donation will be assigned to, you can also choose the currency and how the payment was made.

(All these four fields have a magnifying glass beside them, clicking on this brings up a list of all the codes for that field that are saved in Silent Partner.)

In the “Total Amount” field you enter in the amount of the donation and then you indicate whether or not it is deductible for tax purposes by choosing either yes or no under “Charitable gift”.

Donor Advantage” is useful for donations made at events such as a charity banquet; it allows you to record and deduct the cost of the food or gift the donor received from the total of their donation. Depending on local tax laws, the deductions for food and non-food items may be different. You are also able to add notes to the specific donation and choose a pre-recorded reply, and in the lower half of this window will appear the donations for all donors in the current batch.

When done click “OK“. Now your donation has been entered into Silent Partner. When you are finished entering all the donations for this current batch you can move onto Posting.

 

Corrections:

If you entered a donation to this batch by mistake, and you haven’t yet posted it, you can easily fix it. On the donation entry window in Step 4, simply right-click on the erroneous donation and choose either Edit or Delete. This can ONLY be done BEFORE posting; otherwise you will need to reverse the donation.
