Tracking Correction Receipts in the Receipt Log Report
Silent Partner v.5.35 or higher will now use the Receipt Log report to keep track of correction receipts issued via the Print Correction function in the tax receipting area:
Any receipts issued via the Print Correction function (correcting the Donor Name/Address; the Amount; or re-assigning the receipt to another Donor), will now also capture the "Replaces [original receipt number]" note; regardless of whether or not the user opted to include the "Cancels and replaces" line on the new receipt.
The new system will help track and link together receipts cancelled and replaced via the Print Correction routine.
The Replacement receipts (issued via the Print Replacement function) will be recorded, as before, marked with "Replaces [original receipt number]", as well as the replacement issue date.
The Receipt Log report (Reports > Receipt Log) now has the "Include Notes/Receipt Correction Info" option, which, when checked, will add the receipt correction details to the report, marking the cancelled and new receipts produced as a result accordingly. The Notes will also include Gift-in-Kind information for the Gift-in-Kind receipts.
The Receipt Log report should be run for both official and unofficial receipts to display the Replacement receipts (issued via Print Replacement):
The Receipt Log report has thus been enhanced to present a more detailed and clearer record for receipt corrections, which would make it more suitable for auditing and record keeping purposes.
Please make sure you
update your Silent Partner to the most recent version in order to use the new Receipt Log report function.
The new functionality will only apply to correction receipts you issue after the update and will not work retrospectively (i.e. for correction receipts issued on previous versions of the program, below 5.35).
